July in Florida. Saturday afternoon.
You’ve got three techs out on calls, the phone won’t stop, and you’re up on a roof swapping a compressor.
Right then, four messages come in: “My AC just broke”, “Can you come today?”, “How much for a checkup?”.
You see them two hours later.
Two of those people already called another company.
Sound familiar?
If you run an HVAC business, I bet it does. And it’s not because you do bad work. It’s that in summer, the work runs you over.
How do you grow an HVAC business?
Two things grow an HVAC business more than any ad: answering first when someone’s AC breaks, and getting every client you’ve already served to come back for maintenance.
The first brings in new jobs. The second fills your calendar with people who already trust you.
This post covers the first one, emergencies. The second is in part 2: HVAC maintenance agreements that bring clients back.
The emergency someone else gets
When someone’s AC dies in the middle of summer, they don’t calmly compare prices.
They message three or four companies at once. And they go with the first one that says “we can come today”.
A Saturday in July
… you're still on the roof …
2 hours late: someone else got the job
It doesn’t matter that you’re the better tech. If you answer late, the job goes to someone else.
And the worst part is you never find out. You don’t know how many people messaged you and left because you didn’t get back to them in time.
How it’s solved: questions right away, and you decide
What I set up is that the person doesn’t sit there waiting, even while you’re on the roof.
Right away they get a few clear questions: what’s wrong with the unit, since when, what area they’re in, a photo of the unit, and what time works. That alone tells them someone’s on it.
And you get everything together, ready to decide:
- 1. Luis writes: "my AC just broke"
- 2. He gets the questions right away: what's wrong, area, photo of the unit, schedule
- 3. You get the emergency with everything you need
Emergency
Luis · Hialeah
- AC isn't cooling and it's leaking inside
- Unit is about 10 years old (sent a photo)
- Available today after 4 pm
One tap and it goes to the tech who’s free, who sees it on their phone with the address and what’s wrong with the unit. And Luis gets his visit time.
If you’d rather reply yourself, you do it already knowing everything. No need to ask again.
Nothing gets confirmed without you or whoever dispatches seeing it first. What disappears is the wait.
HVAC answering service, or replies that happen on their own?
A lot of owners solve this with an HVAC answering service. It helps: someone picks up and takes a message.
But the client still hangs up without a visit time, and you still get a note you have to call back on.
Here the person gets the right questions and the open slots right away, and you get the job ready to assign. It’s not about taking messages. It’s about the client not having a reason to call anyone else.
What I do to make it work like this
I don’t ask you to switch tools or learn anything new.
First we talk for 30 minutes about your business and where you want to take it. Then I look at how you work today: how emergencies come in, how your techs split the work, and what happens with each client after the visit.
From there I show you where clients are slipping away, and we set it up to run on its own, bit by bit. If you want to see each step, I explain it in how I work. And on the Missions page there are examples from other businesses.
What changes when this is handled
Today, in summer, every message you answer late is a job someone else gets. And you don’t even know how many there were.
Once it’s handled, you climb down from the roof and there are two emergencies ready to assign, with photos and addresses. The clients already know you’re coming, and you haven’t touched your phone all afternoon.
And if you want those same clients coming back on their own in six months, keep going with part 2.
Does this sound like your business?
Let’s talk for 30 minutes about your business and what you want to achieve. I’ll tell you honestly whether I can help and where I’d start.
Frequently Asked Questions
How do I get more HVAC customers?
Beyond being found on Google, what makes the biggest difference is answering emergencies fast, because the job often goes to the first company that replies. After that, getting the clients you’ve already served to come back for maintenance.
Do I need an HVAC answering service?
An answering service takes messages, but the client still waits for a callback. If every person gets the right questions and open slots right away, and you get the job ready to assign, you cover the same need and the client has no reason to call anyone else.
Do I have to watch WhatsApp all day?
No. It can be set up so each person gets the questions you need right away, and you get everything together to decide, even while you and your techs are on jobs.
How much should I charge to install or service an AC?
It depends on the type of unit, the size of the home, whether ductwork needs replacing, and the area. What matters is always asking the same questions before giving a price, so the client gets a fast answer that’s the same no matter who replies.
